Digitalization has long since transformed the printing industry. Who still prints posters and glues them onto billboards? Okay, that still exists. But more and more often, advertising messages—even news—appear on large screens in airports and train stations. Product information and brochures are no longer handed out in print but are available online as PDFs or dynamically generated from databases on websites.

In many areas, value creation is flowing away from the graphic industry. That’s a fact. But one important point is often forgotten: no matter the medium in which information appears, the human being it aims to reach has not changed.

And this is where the graphic industry comes into play: it can do more than just duplicate! Over centuries, the industry has built profound knowledge about how information needs to be prepared so that it can be quickly and fully absorbed by the human brain.

Let’s take the design of business cards, brochures, or recipe cards as an example. For these kinds of projects, uTraxx has expanded the existing print ERP system with an agency solution. It allows creative—and often chaotic—processes to be managed without requiring any programming skills. Normal people don’t read XML. They work on texts, layouts, or pricing—often all at once: the text may still be in draft form, the layout is still being worked on, and the client is still in the middle of making creative decisions.

To keep such processes on track, a Kanban board visualizes the workflow. It displays individual work steps, allows for dynamic planning, and keeps the final deadline in focus. Team members can work on different parts simultaneously and log their working hours. In the end, a transparent overview shows who worked on what, for how long.

External collaborators, teams, and even the client can be included. The client can also see, for example, when the final decision on layout or corporate identity is due to meet the deadline. At the end of the process, a transparent invoice shows the total costs. With the uTraxx ERP system, an agency can work independently. A print shop can use it to offer creative agency services such as layout or web development in addition to traditional print production.

Right now, new, dynamic value chains are emerging in the industry. Of course, there are large printing companies that want to offer everything under one roof, which leads to very high complexity. But more and more often, there are also smaller companies that specialize in a niche and serve a specific customer base looking exactly for that specialty.

One way out of this niche existence is cooperation with other specialists and/or a traditional commercial printer. In such cases, the commercial printer can offer specialty products, and the specialist can offer standard commercial printing. uTraxx supports the cooperation of several companies with its cross-company model: companies offer products jointly, but the actual production always takes place where the specific part can be produced most efficiently.

Even in such a collaboration, complexity quickly reaches a level that cannot be managed satisfactorily—let alone transparently and in real time—using Excel spreadsheets. Add misunderstandings and email back-and-forth into the mix, and the advantages of cooperation disappear quickly.

In such cases, implementing a cloud-based ERP system can lay the foundation for successful cooperation. Small companies can then work with the same tools, technologies, and automation capabilities as large enterprises.

One issue that has been growing in the industry for years is the retirement of specialists who learned imposition from the ground up—taking with them a wealth of knowledge that suddenly disappears. It’s ironic, really, because the imposition layout is the mother of all printed products—literally nothing works without it.

The imposition step defines how and in what sequence the desired format must be produced. It is also the only true basis for accurate cost calculation, as it directly affects workflows, setup times, machine usage, sheet sizes, paper waste, procurement—and ultimately the final product price. In contrast, using only a predefined folding scheme at best allows a rough estimate, but never a precise quote.

uTraxx has recognized this and, when a new print job is created, calculates all possible variants on all available production systems and compares them with each other. The AI installed by uTraxx takes a fraction of a second to determine how the desired print runs and types can be produced at the lowest cost, using which process, on which sheet size, and with which production method. It is not uncommon for the AI to suggest innovative solutions. Or it compares the price for different print runs if they have not yet been finalized. Then, for example, the digital printing machine “wins” for a print run of 100 copies, and the 70x100 sheetfed offset machine is the “winner” for a print run of 1000 or more. Where exactly the intersection between digital and offset lies depends largely on the type of job, but also on the degree of automation of the production equipment in question. Often, the intersection shifts after the installation of new production equipment. While humans still rely on their old, learned experience, uTraxx's AI finds the most cost-effective production method and thus the perfect imposition.

Fewer errors thanks to standardized production

Once the imposition has been found, the information flows directly via JDF stripping into the downstream workflow and thus into production. The automated imposition process eliminates the tedious and often error-prone reconstruction of impositions. On the contrary, production is standardized: no matter who enters the order, the AI always finds the same production path for the same case, and the downstream production steps during processing are also standardized. The 16-page brochure then goes through the same production steps as the 32-page brochure – even though different employees with different experiences and preferences calculate these products. Errors in cutting, folding, binding, and expensive changeover times from one type of fold to another are minimized without the need for new work instructions or training.

QR code invoices for the Swiss market

Switzerland is currently switching from the old payment slip (ESR) to the new QR code invoice. In a few months, the old ESR will no longer be used. Then, an invoice with a QR code can be scanned directly with a smartphone app or other reader, payment can be initiated, and the invoice can be posted in the accounting system. uTraxx can automatically generate QR code invoices, laying the foundation for customers to process their invoices quickly, efficiently, and without typing errors. Existing customers can order this new tool and integrate it into their system. The QR code is integrated as standard in new systems. This feature is of interest to Swiss customers of uTraxx ERP systems as well as uTraxx customers who produce and invoice orders for Swiss customers.

Although the coronavirus pandemic has pushed the CO2 debate somewhat into the background, this issue will continue to occupy us for a long time to come. We are on the cusp of a radical change that will affect every manufacturing industry. Software suppliers are also facing challenges. Many people are unaware that software can also waste energy—or not. uTraxx has been programming in a CO2-optimized manner for a long time. Specifically, this means that the code is written as efficiently as possible, which avoids unnecessary computing power and thus energy consumption. CO2 avoidance is also an issue in production. uTraxx has integrated climate protection into its software: every print shop can calculate the exact CO2 emissions for each order and, via an online connection to well-known portals such as ClimatePartner, retrieve the price for offsetting, show it transparently on the invoice, and inform the end customer which climate project is being supported with the levy. The compensation invoice is settled directly with the partner as soon as the quote becomes an order. End customers can choose which project in which country they want to finance. At the same time, the printing company can provide information at any time on how many tons of CO2 it has emitted and offset, and how much compensation has gone to which projects. With just a few clicks, a detailed and transparent statement and invoice can be generated. It can be used as evidence for regulatory authorities or as documentation in the annual report for shareholders and customers.
