Introducing a new ERP system offers the opportunity to question existing processes, streamline workflows, and achieve measurable savings. However, these changes require careful planning. A uTraxx guide in eight steps.

1. Know your goals

You know what your market environment looks like and how you want to position yourself. You know which processes you want to question and possibly adapt. You are using the switch to a new ERP system to achieve savings. You can specify the timeline and the savings potential precisely.

2. Plan agilely

Organize your project in advance in a way that prevents costly adjustments later on. Specification documents that define detailed requirements for the software provider are not effective, as they impose overly rigid workflows. Instead, formulate your goals as user stories. When planning your project, use modern project management methods such as Scrum. This allows implementation to adapt to the respective progress. It reduces costs and increases satisfaction.

3. Work in a standardized way

Standardization is a magic word when it comes to working efficiently. uTraxx has the right tools built in. For example, the calculation strictly follows the JDF standard for folding and printing sheets recognized in the graphic arts industry. The results of a specific calculation are always identical—regardless of who created them or how often. Correspondence is also largely uniform in wording and formatting. Thanks to automatic text generation and the use of text modules, the appearance always remains the same—independent of the person handling the task.

4. Automate processes

If your processes are already standardized, why not take the next step and automate them—by passing JDF data directly to prepress? And why not replace the static job jacket with a digital one? Only a cover sheet with a QR code is printed, linking employees directly to the “Electronic Job Ticket” (EJT). From there, they access real-time updated job information, shop floor data collection (BDE), and the shipping module. For correspondence, preformatted PDF documents are sent directly as attachments via Outlook. The uTraxx electronic planning board supports flexible scheduling.

5. Have the courage to leave gaps

Don’t get lost in the details. In most cases, it’s enough to clarify the question of profitability. Try not to be overly precise during parameter configuration. Often, a great deal of effort only leads to a slightly improved “illusion of accuracy.” Avoid this mistake. But caution: if you are specialized or your customer structure requires precise mapping, don’t cut corners in the wrong place. Be sure to budget for the additional effort.
