In order for a print product to be produced on time and delivered to the customer, the clerk must have a lot of information about the print job. Has the paper already been delivered, or the insert that is to be processed? How far has production progressed? Gathering these and other details requires a great deal of communication via email, telephone, or direct exchange with colleagues. In the fast-paced day-to-day business, where many things are still done on demand or via notes, it can happen that important information is left behind and not passed on. This – unintentional – lack of transparency can lead to errors and unrest in the company. uTraxx task management ensures the flow of information in real time.

Step-by-step release of tasks

Task management, which covers all production process steps, starts with the respective print job and assigns the tasks to be performed to the responsible employee. Once the task is completed, the ERP system dynamically opens a follow-up task. This means that employees are required to work through their tasks and provide information. For example, in the case of inquiries or orders, the corresponding order documents can be generated and sent directly from the system to the partner by email. The step-by-step release shows the current order status, every employee is informed and can react agilely in each individual process step. Additional tasks can be added at any time.

Automated production control

Production is automatically triggered by the digitized interactive interaction between task management and the planning board. Not only does the administrative staff provide the dispatcher with the most important order information, but so do the production staff. With the help of electronic job tickets, employees report whether the paper is ready for the corresponding cost center or whether the semi-finished product is already on its way to the external service provider. Machines report whether the printing plates have already been exposed (CTP), what the current mileage is, etc. The continuous and automated flow of information from the planning board, task management, electronic job ticket, and computer systems controls production and prevents collisions.

Kanban board for creative processes

Task management is not only used in traditional production, but also in the creative sector, especially in agencies that professionally create websites or implement advertising campaigns, for example. These production process steps require even greater agility, as projects consist of countless subtasks and involve several departments. To keep track of everything, uTraxx has developed a Kanban board as its most important tool. Large and small projects or subtasks are clearly displayed on it. This enables the people involved to complete tasks efficiently and without friction losses.
